E-mail privacy, security, and confidentiality
HYDROMOD has adopted and maintains the following privacy, security and confidentiality policy for message transmission by electronic mail (e-mail) via the Internet:
- It is impossible to guarantee origin, confidentiality, and integrity of messages by transmission on the Internet. In case of any doubts on originality, integrity, or contents of a message originating from a HYDROMOD sender please refer back to the author of the message at HYDROMOD.
- Original HYDROMOD senders addresses are always <last name>@hydromod.<domain> whereas <last name> is always a company companion or an employee authorised by the management to communicate in HYDROMOD’s name or on behalf of the company. The domain name for communication to Third Parties is generally “hydromod.de” or “hydromod.com”. In particular HYDROMOD does not send e-mails with 'system', 'webmaster', 'information' or project addresses (i.e. sender addresses beginning with e.g. 'root', 'admin', 'postmaster', 'webmaster', 'info', 'arcdev', 'strice', 'ferrybox', etc.).
- Confidential, sensible, integrity or security relevant content is usually attached as PDF file (Portable Document Format). Originals are secured against changes. If necessary or applicable, additional security measures (e.g. protection by a separately transmitted opening password) may be applied. Please note that attachments of other applications are usually not protected against changes and in case of doubts it shall always be referred to the secured PDF version of such documents.
- Generally HYDROMOD does not distribute executable software or elements like screen savers, scripts, or macros to Third Parties without special notice.
- Although not possible to fully guarantee it is almost impossible that computer viruses, worms, trojans, or other malicious elements are spread through HYDROMOD’s e-mail accounts or servers. All messages sent from or received by HYDROMOD are swept by up-to-date anti-virus software.
- HYDROMOD’s e-mail systems are secured against SPAM intruders. SPAM messages camouflaging a HYDROMOD sender’s address are not sent by HYDROMOD’s messaging systems but contain faked or spoofed sender addresses and are distributed through other systems than those maintained or used by HYDROMOD.
- Moreover, computer viruses and SPAM can spread through infected computer systems by retrieving entries from address books, files, or databases to spoof or fake sender addresses. In case spurious messages are received with a HYDROMOD sender address the message’s delivery protocol can be used to identify that the messages originates from a strange mailing system.
- SPAM e-mails represent a potential security risk and thus spurious or unwanted e-mails are filtered accordingly. Messages sent to HYDROMOD are controlled for SPAM contents. To avoid blocking by SPAM controllers please reference the message subjects and adjust the contents accordingly.
